Reasons for Letters of Request
There are many circumstances where a letter of request would be required. Of these situations where you would need a letter, the same basic structure is used:

Basics of Request Letters
Although you will need to customize your letter based on its purpose, there are some basic rules that apply to all request letters.
Formatting and Presentation
Formatting should take the form of a block style or semi-block style. This is a formal, more business-like formatting that can be altered to fit your specific needs and should include the date, recipient name, organization name, address, greeting, body, and closing.
Use a computer word processing program and then print the letter on a bright white sheet of paper. Printed paper is often considered unprofessional and distracting.
Body of the Letter
The body of the letter will depend on the intent of the letter. In other words, if you are looking to score an interview with a leader of the company, you would introduce yourself, tell the person about yourself and then inform him of your intent. Regardless of the reason for your request, you should get to the point right away.
Things to Avoid
Keep in mind that a letter of request is something you are asking of someone. The goal is to make it as user-friendly as possible. As there are many techniques you must use in your letter, there are also some words, phrases and actions you should avoid.
- Make sure you do not come across self absorbed: The letter should focus on the potential contributor's response and how it could help. Lay out the goals you are looking to achieve and make her feel as though she is a vital piece to making it happen, which just might be true. In the same instance, offer your consideration for anytime they might need assistance in such a case.
- Do not be vague: Be clear in what you are requesting and asking of this person. The situation becomes easier for a person to respond to a request when the response is well laid out before them. Anticipate what questions or documents the person you are writing to will need and provide it right off hand with the letter.
- Do not rush them: Make sure all requests are sent out in a timely manner. Do not expect a response where you have a 3-4 days turnaround time. Not only is that inconsiderate, as they are doing you the favor, it also shows an unprofessional attribute and not being prepared.
- It is imperative that you do not apologize for asking for a request. Requesting a letter should be as if you are complimenting them; that their opinion is highly recognized and weighted.
Don’t Forget
Make sure you put your contact information as shown in case the person has any questions. Always thank the person you are requesting your information from and show appreciation.
