Microsoft Office One Note
From LoveToKnow Business
Microsoft Office One Note is a software program that lets business people, students and those with busy family or social calendars keep all the information they need to manage projects in one place. It is meant to be a substitute for memo pads and sticky notes that tend to take over the office or kitchen counter. The program helps collaboration between multiple people and proves especially useful for meetings or during conference calls.
The Interface
One Note’s interface is reminiscent of the clipboard present in many Microsoft programs or the ever popular Smart Board. It consists of a white “page” that allows the user to type in notes, pull in files from other programs and move text and images around the screen as needed. It also allows for both audio and video files. All the user needs to do to get started is create a new file, click on the screen and start typing.
Formatting
A lot of people enjoy using Microsoft Office One Note because there are so many ways to both format the text and organize the screen. For example, after typing in text, the user can simply push the tab key to create the columns of a table and then push enter to add the rows. It’s a lot easier to use this create as you go method for those times when it’s not clear how large the table will have to be at onset. It’s also simple to add bullets and change the size, color and text font with just a couple clicks of the mouse.
Tabs
Since people taking notes often aren’t limited to one subject at a time, One Note allows for tabs that can be used to toggle between more than one page. That way the user can simply click back and forth instead of having to open a new file each time. Plus, since the tabs can all be seen at once, he or she knows exactly what is available to work with. Also, for items that have no distinct category as of yet, the program offers an unfiled notes section that can be accessed via an icon in the bottom left corner of the screen. Pages can be rearranged, renamed, added or deleted as the user sees fit.
The user can also share pages with others by emailing them, posting them online or creating a shared notebook that lets more than one person update the pages and lets all with access see updates in real time.
Web Browser Compatibility
Since One Note is a Microsoft product, it is designed to be compatible with Internet Explorer. However, it may be used with other browsers as well.
Here are just some of the things a One Note user can do to facilitate Internet research:
- Save screen shots of Web pages and upload them to a One Note page as complete text
- Embed links into One Note, similar to how they appear in the favorites list
- Place a small window in front of the browser window for quick notes while surfing
Outlook Compatibility
Of course, any self-respecting Microsoft program can also interface with Outlook, the popular email and calendar program. This one is no exception. One Note can be used to make Outlook tasks and schedule appointments.
What Sets Microsoft Office One Note Apart
Microsoft asserts that One Note is better than other note-taking program since pages can be basically any length the computer’s memory will allow. Some may see this as a good thing, while others believe just the opposite. Luckily, when the amount of information starts to get a little cumbersome, and begins to resemble that messy desk, the user can find items quickly via the search function. It’s also possible to tag notes to make them easier to find later. Think labeling all things that need to be done ASAP with an urgent tag.
One Note is available online and at many software retailers.
